Purpose

The safety of our College community is a top priority and will be forefront in the decision-making process whether to close. Conestoga services a large area, and it is recognized that conditions can vary widely within the region.

Should Conestoga be forced to cancel activities at one or all locations due to inclement weather, the following guidelines will apply. These guidelines may also be used in conjunction with the Emergency Response Plan as required in other emergency situations.


Scope

These guidelines apply to the ÐÓ°ÉÔ­´´ Community.

Guidelines

  1. General Principles
    1. The college will develop a consultative network to gather information for closure decisions.
    2. Inclement weather is monitored and assessed 7 days a week for all campuses and buildings that Conestoga owns or leases, except for days when buildings are already closed as outlined in Conestoga’s Holiday Site Closures
    3. When a location is closed due to inclement weather, all in-person classes and activities will be cancelled.
    4. During an inclement weather closure, employees are not required to perform regular work operations, whether their duties are normally performed on campus or remotely. However, employees should ensure urgent matters are addressed remotely to the best extent possible, meetings and/or events are canceled/rescheduled appropriately, individuals are notified of any schedule changes, and out-of-office messages are updated to reflect availability. Employees are expected to monitor college communication channels for updates regarding the closure and subsequent operational status.
    5. On inclement weather closures days, full-time employees and contract academic employees who were scheduled to work will be recorded as absent due to weather conditions and will receive pay for the scheduled time. Appendix D, Part-time Support, and Administrative Contract employees should enter their regularly scheduled hours in the portal as usual. Any pre-booked absences, including vacation, sick time, or lieu time, remain unchanged.
    6. If campuses remain open but individual employees decide that road conditions are not safe for travel, they should contact their supervisors to discuss the possibility of remote work or decide to use vacation or lieu time. Employees are reminded to exercise good judgement regarding travel during extreme weather conditions and to prioritize their safety. Contact your supervisor if you are expected to be on campus but not able to travel safely.
    7. If campuses are closed for in‑person activities, all scheduled online classes will be cancelled; in‑person classes will not be moved online and will remain suspended until campuses reopen.
    8. If the inclement weather closure takes place during the December or April scheduled exam week,
      1. All in-person exams will be rescheduled to the end of the exam schedule (Saturday or the following Monday)
      2. All online/remote exams will continue as scheduled.
  2. Communication
    1. Closure announcements will be communicated only when locations and operations are suspended. If no closure message is posted, regular operations are assumed to continue as scheduled.
    2. In the event of inclement weather, closure announcements will be posted on the homepage of the Conestoga website in accordance with the timelines outlined in section 2.3 and also shared through Conestoga's main social media channels. Local radio and television stations will also be informed. Employees will be contacted via email. Each school/department is responsible for having a means of communicating closures to others as required.
    3. Closure decisions will be communicated according to the following timelines:
      1. Prior to the Day – by 6:00 am for day-time classes Monday–Sunday
      2. Prior to the Evening – by 4:00 pm for evening classes
      3. During the Day – in consultation with the Vice President, Facilities & Capital Development
    4. There may be occasions when the College needs to close during the day or evening after classes have started, resulting in announcements outside of the timelines above. These decisions are made with the safety of our College community in mind.
